A well-established specialty construction contractor in Northern California is seeking a Project Administrator to support project teams from bid award through project closeout across residential and multifamily projects.

This role is ideal for a detail-oriented professional who enjoys managing documentation, coordinating with multiple stakeholders, and supporting day-to-day construction operations.

Key Responsibilities

  • Enter and maintain accurate project data in Excel and internal systems (Sage)
  • Prepare, track, and manage all project documentation including owner contracts, subcontracts, RFIs, change orders, submittals, work orders, and closeout materials
  • Order and review construction plans; identify revisions and potential scope impacts
  • Manage proposal submissions including formatting, distribution, and follow-up
  • Review and process builder purchase orders through various online portals and systems
  • Coordinate and track warranty and customer service requests
  • Prepare reports related to special project requirements and internal tracking
  • Maintain organized project files, logs, and management trackers
  • Review project contracts for accuracy, completeness, and compliance
  • Serve as a professional point of contact with builders, superintendents, and field teams
  • Provide administrative support for special projects and assist team members as needed

Qualifications

  • Bachelor’s degree in Business, Construction Management, Finance, Accounting, or related field preferred
  • 5+ years of experience in construction or a related industry, ideally in a project coordination or administrative role
  • Strong ability to communicate with leadership and support end-to-end project workflows
  • Proficiency in Microsoft Word, Excel, and construction accounting or ERP systems (Sage preferred)
  • Highly organized with strong follow-up and multitasking skills
  • Detail-oriented with excellent written and verbal communication abilities
  • Proactive, dependable, and able to work independently with limited oversight
  • Comfortable in a fast-paced, team-oriented construction environment
