Assistant Purchasing Manager

A leading Hotel Developer is currently seeking an experienced Assistant Purchasing Manager with hospitality and design experience to join their team! Responsibilities:

  • Evaluate, negotiate, and select vendors based on price, quality, delivery, and adherence to specifications.
  • Conduct analysis of buying trends, market conditions, budgets, material policies, suppliers, contracts, bids, proposals, and vendor agreements.
  • Oversee all activities related to procurement, ensuring efficient processes from intent to purchase through delivery.
  • Strategically plan to reduce costs and improve efficiencies, while tracking purchase costs and savings on a monthly basis.
  • Manage vendor relationships and expectations to ensure smooth collaboration.
  • Conduct thorough product research and facilitate product review meetings.
  • Perform inspections to ensure conformance to purchase orders and authorize invoices for payment.
  • Issue field observation reports based on inspections conducted.
  • Manage workflow, oversee the completion of activities, and effectively communicate progress to stakeholders.
  • Provide valuable insights and advice on bid tenders for vendors and large material purchases.
  • Collaborate with Designers, Project Managers, Operations departments, and relevant stakeholders for FF&E and material purchases.
  • Prepare Request for Proposals (RFPs) for product pricing.
  • Draft contracts for FF&E receipt, deliveries, and installations.
  • Review vendor proposals to ensure inclusion of tariffs, shipping and handling fees, and transport insurance.
  • Verify that vendor proposals align with our standard purchase order terms and conditions.
  • Manage procurement for multiple projects, ensuring timely and cost-effective execution.
  • Co-lead negotiations for corporate rate pricing, warranty terms, payment terms, and other contractual matters.
  • Provide regular reports to the Purchasing Manager and Senior Director.

Requirements:

  • Bachelor's degree in Business Administration preferred.
  • Minimum of 5 years of purchasing experience in a hospitality or construction environment, with a preference for FF&E purchasing.
  • Demonstrated negotiation skills with a proven track record of achieving year-to-year cost reductions and lead time reductions.
  • Exceptional flexibility and the ability to successfully manage multiple simultaneous tasks.
  • Excellent judgment and independent decision-making abilities.
  • Strong analytical, finance, negotiation, project management, and presentation skills.
  • Solid understanding of ethical procurement practices.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Advanced proficiency in Excel for generating, illustrating, and managing procurement PO logs, budget tracking, estimates, proposal cost analysis, etc.
